Visa Disclaimer
Visas are the part of international travel that causes the most anxiety, and the part where expectations most need to be clear. This page explains what we can do, what we cannot, and what remains yours.
Last updated: July 2026
The essential point
No travel company, agent or consultant can guarantee a visa.
A visa is granted by a foreign government at its own discretion. It is not a product that can be bought, and it cannot be secured by any intermediary regardless of what they promise. Applications from experienced travellers with complete documentation are sometimes refused, without a reason being given and without a right of appeal.
Anyone who guarantees you a visa is telling you something they cannot deliver.
What we help with
Where visa assistance forms part of a journey we are arranging, we help you prepare a well-organised application. That typically includes:
- explaining which visa applies to your journey and the route by which it is obtained
- setting out the documents required for your itinerary
- providing travel documentation from your booking that supports the application, such as confirmed itineraries and accommodation
- checking your file for completeness and obvious problems before submission
- explaining the process, the sequence and what to expect
We do this because a complete, coherent, well-presented application is more likely to succeed than a rushed one — not because it changes the outcome by itself.
What we cannot do
We cannot:
- guarantee that a visa will be granted, for any destination or any applicant
- influence a decision, or expedite one, or intervene once an application is lodged
- obtain a visa on your behalf — you are the applicant, and the application is yours
- be responsible for a refusal, or for the consequences of one
- guarantee processing times, which are set by consulates and missions and vary with season, destination and volume
What remains your responsibility
Your passport. Holding a valid passport with sufficient remaining validity and enough blank pages for your journey. Many countries require validity well beyond your return date, and requirements differ.
The accuracy of your application. Everything you declare is your declaration. Errors, omissions and inconsistencies are among the most common causes of refusal, and they are within your control.
Meeting entry requirements. Holding a visa is not the same as being admitted. Immigration officers at the border make the final decision, and can refuse entry even to a traveller holding a valid visa.
Every country on your route. Transit through a third country may itself require a visa, even when you do not leave the airport. Tell us your full routing so we can flag this.
Additional requirements. Entry rules increasingly include things beyond a visa — digital arrival cards, health declarations, proof of onward travel, proof of funds or proof of insurance. Requirements vary by destination and change frequently.
Verify with official sources
Visa policies change frequently, sometimes at very short notice, and information circulating online is often out of date.
Before you book non-refundable travel, verify the current requirements for your nationality and itinerary with the relevant embassy, consulate or official immigration authority.
We will tell you what we understand the position to be and point you to the official source. Where the position is unclear or has recently changed, we will say so rather than guess. Please treat any date-sensitive guidance as needing confirmation close to travel.
Costs
Visa fees, service charges levied by application centres, courier costs and biometric appointment charges are paid to those authorities and providers.
They are not refundable by us, and they are not refundable if an application is refused. A refused application does not return the fee.
Where visa costs form part of a journey we are arranging, they are identified in your quotation. See our Refund & Cancellation Policy.
If an application is refused
A refusal is disappointing and, in most cases, unexplained. Consulates are generally not required to give reasons.
If it happens, tell us immediately. Depending on your itinerary and its timing, options may include reapplying with a strengthened file, changing dates, or changing the destination. What is possible depends on the supplier conditions attached to your booking, and any cancellation charges follow our Refund & Cancellation Policy.
This is one of the situations travel insurance may respond to, depending on your policy — another reason to arrange cover when you book rather than close to departure.
Timing
Apply as early as the destination permits.
Processing times lengthen around peak travel periods, and popular destinations can develop appointment backlogs that add weeks before an application is even lodged. Where a journey depends on a visa, we will discuss timing with you at the planning stage and recommend a schedule that leaves room for the process to take longer than expected.
